Invoice template creator

  1. Enter your business details. Type your business name, address, email, phone and tax ID. Anything you leave empty stays off the template.
  2. Add your logo and colour. Upload a JPG, PNG or WEBP logo (up to 0.5 MB and 2048 × 2048 px) and pick an accent colour for the INVOICE heading, the section labels and the total.
  3. Choose currency, paper size and columns. Pick a currency symbol (or type your own), A4 or US Letter, and whether the lines are billed as quantity × unit price or hours × rate.
  4. Set the tax line and your terms. Both tax fields start empty: type the tax name and rate you charge, or leave them blank. Add your usual payment terms, payment instructions and a footer note if you want them printed on every invoice.
  5. Check the preview and download. The preview updates as you type. Download the template as a Word file, an Excel file or a PDF.

What you get in each format

All three files share one clean layout: your logo and details at the top, an INVOICE heading in your colour, lines for the invoice number, date issued and due date, a Bill to block, the item table, Subtotal, tax and TOTAL DUE lines and Notes, plus your payment terms (beside Bill to), payment instructions and footer note if you add them.

Word (.docx)

A document you type into: the customer, the dates and one line per item in a table with Description, Qty (or Hours), Unit price (or Rate) and Amount columns. Word does not add up the amounts, so you type the totals yourself. The layout is sized to fit one A4 or US Letter page; when your details are long, the table gets fewer blank rows (8 at most) so the page stays one page.

Excel (.xlsx)

One sheet, named Invoice, with ten item rows. The line amounts, subtotal, tax and TOTAL DUE are formulas in the same cells as our blank Excel template (amounts D15 to D24, subtotal D25, tax D26, total D27), and the tax rate you typed sits in B26, or 0 if you left it empty. Amounts show your currency symbol, your logo sits at the top right, and the sheet is set to print on one page of the paper size you chose. Each formula is explained on our invoice template guide.

PDF

The same layout as a print-ready blank, for filling in by hand. It has no form fields to type into and nothing adds up; to type into your template, use the Word or Excel file. The PDF uses a built-in PDF font with a limited character set (English and most Western European letters). If your details contain characters it cannot show, such as the Turkish lira sign ₺ or Cyrillic letters, the page says so and the Word and Excel files, which show them, are the ones to use.

How to use your template for each new invoice

  1. Keep the download as your master copy. Make a copy of it for each invoice and never type over the master. In Word or Excel you can also save it as a Word template (.dotx) or Excel template (.xltx); the steps are in our template guide.
  2. Give each invoice the next number. Use a numbering pattern you keep to, or get one from the invoice number generator.
  3. Fill in the customer, dates and lines. In the Excel file the amounts, tax and total calculate as you type.
  4. Save it as a PDF and send it. Our guide on how to make a PDF invoice has the export steps.
  5. Keep both the editable file and the PDF you sent.

What is saved, and where

The form saves what you type, and your logo when the browser's storage has room for it, in this browser's local storage on this device, so it is filled in again when you come back. Nothing you type is sent to our server: the Word, Excel and PDF files are built by your browser. Press Clear form to delete the saved settings. Private or incognito windows clear them when you close the last private window, and if your browser blocks site storage the form still works but starts empty next time.

Google Analytics receives a usage event naming the format you downloaded (Word, Excel or PDF), not the details you typed. See our privacy policy.

Limits and the credit line

Files made on this page are built in your browser, so they do not count toward the online invoice generator's anti-abuse cap of 20 PDFs per device per day (200 per IP); that cap applies to the PDFs the generator renders on our server.

Each file ends with one line, "Template created free with myinvoicetemplate.com", switched on by default. Untick the credit checkbox at the end of the form before you download and the line is left out of the Word, Excel and PDF files; it is free and nothing else changes.

Does the Excel template add up the totals?

Yes. Each line's amount is quantity (or hours) × unit price (or rate), and the subtotal, tax and TOTAL DUE are formulas too, in the same cells as our blank Excel invoice template: amounts in D15 to D24, subtotal in D25, tax in D26 and total in D27. The tax rate sits in B26: it is the rate you typed in the form, or 0 if you left it empty. The Word file and the PDF do not calculate; you type the amounts in yourself.

Can I put my logo on the invoice template?

Yes. Upload a JPG, PNG or WEBP file of up to 0.5 MB and at most 2048 × 2048 pixels. The logo is placed at the top of the Word file and the PDF, and at the top right of the Excel sheet. It stays in this browser with your other settings and is not uploaded to our server.

Should I download the Word, Excel or PDF version?

Excel if you want the totals worked out for you. Word if you prefer typing into a document and adding longer descriptions. The PDF is a blank to print and fill in by hand: it has no form fields and does not add up. You can download all three; they share the same layout.

What is the difference between an invoice template and an invoice?

A template is the reusable layout: your details, logo, columns and terms, with the customer, invoice number, dates and line items left blank. An invoice is one filled-in copy of it, sent to one customer. This page makes the template. If you only need one finished invoice today, fill in the free invoice generator and download a PDF.

Where are my details saved?

In this browser's local storage on this device, so the form is filled in again when you come back. What you type and your logo are not sent to our server: the files are built in your browser. The Clear form button deletes the saved settings; private or incognito windows clear them when you close the last private window. Google Analytics receives a usage event naming the format you downloaded (Word, Excel or PDF), not what you typed.

Can I remove the "Template created free with myinvoicetemplate.com" line?

Yes, for free: untick "Add the one-line credit" before you download and the line is left out of the Word, Excel and PDF files. If it is already in a file, you can also delete it there, like any other text.

Does the template look like the designs in the online invoice generator?

No. The creator makes one clean layout with your logo and accent colour. The online invoice generator has its own designs, and those are available as PDFs made in the generator.
