In the UK, GOV.UK says you must give an invoice “by law if both you and the customer are registered for VAT”, and its list of what an invoice must include has “the date the goods or service were provided (supply date)” next to the invoice number, both parties’ names and addresses, a clear description, the amounts, VAT if applicable and the total owed (GOV.UK).

Arithmetic: 1 × $200.00 = $200.00; 1 × $100.00 = $100.00; 1 × $100.00 = $100.00; 1 × $50.00 = $50.00; subtotal $450.00, which is also the Total Amount. No tax line prints because the tax rate is 0 in this example.

The labels are the ones the generator’s PDF prints. The Due Date field is not printed on this template, which is why the due date is written in the terms. The dollar sign is only for the example: pick your currency in the settings.

One invoice per property, or several listings per invoice

Bill each property on its own lines, with the address in the description (replace [property address]) and the shoot date after it. The editor’s Event Date and Event Location fields print with those labels, so on a real estate invoice leave them empty and keep the address in the line.

If you invoice an agent or brokerage once a month for several listings, repeat the lines for each address. An invoice holds up to 30 lines.

Agent or brokerage: who goes on the bill-to

Put whoever pays you under To (Client): the agent if the agent pays, or the brokerage if the brokerage pays. When an agent orders the shoot but the brokerage pays, bill the brokerage and name the agent in the address block (for example “Attn: [agent name]”) or in Notes, so the invoice reaches the right person.

Listing-use licence

The Terms box includes the line “Usage licence: [the listing and marketing uses allowed, and for how long]”. State what the images may be used for, for example the marketing of this property while it is listed, and say that other uses need your permission. The rules of multiple listing services (MLSs) on photo use differ from one MLS to another, so check the rules of the service the agent lists on rather than relying on the invoice.

Who owns the photos: the law by country

  • United States. Copyright “vests initially in the author or authors of the work” (17 U.S.C. §201(a)), and “a transfer of copyright ownership, other than by operation of law, is not valid unless an instrument of conveyance, or a note or memorandum of the transfer, is in writing and signed by the owner of the rights conveyed or such owner’s duly authorized agent” (§204(a)).
  • United Kingdom. “An assignment of copyright is not effective unless it is in writing signed by or on behalf of the assignor” (Copyright, Designs and Patents Act 1988, s.90(3)).
  • Elsewhere. The rules differ by country, so check the copyright law where you work.

On the invoice, describe the licence you are granting (the use, the media, the territory and how long) in the same words as your contract. If a client asks for the copyright itself, the US and UK rules above require a signed writing, so agree it in your contract.

Drone and aerial lines (US: 14 CFR 107.12)

Keep drone or aerial work on its own line so the client can see what it covers. In the US, the FAA rule for small unmanned aircraft says: “no person may act as a remote pilot in command unless that person has a remote pilot certificate with a small UAS rating issued pursuant to Subpart C of this part and satisfies the requirements of 107.65” (14 CFR 107.12(b)). Outside the US, check your own aviation authority’s rules; this page does not summarize them.

What should a real estate photography invoice include?

Your business details, the agent or brokerage who pays, a unique invoice number and the invoice date, the property address and shoot date, each service on its own line (photos, twilight, drone or aerial, virtual tour), the listing-use licence, the payment due date and how to pay you.

Should I bill the agent or the brokerage?

Bill whoever pays you. If the agent orders the shoot but the brokerage pays, put the brokerage under To (Client) and name the agent in the address block or in Notes.

Where does the property address go?

In the line description: replace [property address] in the Listing Photography line. The Event Date and Event Location fields would print with those labels, so leave them empty on a real estate invoice.

Can I put several listings on one invoice?

Yes. Repeat the lines for each property, with the address in each description. An invoice holds up to 30 lines.

How do I add a drone or aerial line?

Use the Drone / Aerial Photography line, or delete it if you did not fly. In the US, 14 CFR 107.12 requires a remote pilot certificate with a small UAS rating to act as remote pilot in command; outside the US, check your aviation authority’s rules.
