How to fill in an engineering consultant invoice
An engineering invoice should let the client see how each amount follows from your contract or fee schedule. The editor above gives each part of that its own place:

Billing by phase or percent complete
If your contract pays a fixed fee per phase, bill the part earned in this period and show the working in the description, for example: “Phase 2 — Design Development: 60% complete to date, less 35% previously billed (25% of the phase fee this invoice)”, quantity 1, unit Lump Sum, and the resulting amount as the price. You work out the percentage and the amount; the invoice records them and adds them to the total.
Reimbursables and subconsultants
Keep reimbursable costs apart from labor so the client can check them against receipts. Bill them at cost unless your contract allows a markup, and pass subconsultant invoices through the same way, with enough detail (firm, discipline, their invoice number) for the client to match them.

Step by step

Add your firm’s name, address and contact details, then the client’s name and billing address.
- 2Add the client’s project or PO number
Type the client’s project number or purchase order number into Project Code. It prints in the invoice header, next to the dates, only when it is filled in.
- 3Number and date the invoice
Give the invoice a unique number and set the invoice date and the due date your contract gives.
- 4Bill each labor category on its own line
Replace [phase / task] in each line with the phase or task, enter the hours as the quantity and the category’s rate from your fee schedule. Add or delete lines as needed.

What should an engineering consultant invoice include?
Your contract and the client's invoicing instructions decide exactly what must be on it, so check both. This layout has a place for your firm's details, the client, a unique invoice number, the invoice date and due date, the client's project or PO number (in the Project Code field), each labor category on its own line with hours and rate, reimbursable expenses, the total, your payment terms and your payment details.
How do I bill by phase or percent complete?
Write it into the line description and enter the amount for this period yourself. For example: 'Phase 2 — Design Development: 60% complete to date, less 35% previously billed (25% of the phase fee this invoice)', with quantity 1, unit Lump Sum and the amount as the price. The editor does not calculate percent complete for you; it multiplies quantity by rate and adds up the lines.
Where does the client's project number or PO number go?
In the Project Code field under Invoice Details. It accepts up to 50 characters, prints in the invoice header next to the invoice date and due date, and is left off the PDF when the field is empty.
How do I bill reimbursable expenses and subconsultants?
The invoice starts with a 'Reimbursable Expenses (at cost)' line. Use it for a single total or replace it with one line per cost, such as mileage, printing or delivery, if the client wants them itemized; attach receipts if your contract asks for them. For subconsultants, add a line that names the firm, the discipline and their invoice number, and bill it at cost or with a markup only if your contract provides for one. There is also an Expenses total under Totals & Adjustments that prints as its own row.
Can I add my own labor categories?
Yes. The three starting categories (Principal Engineer, Project Engineer and Designer / CAD Technician) are only a starting point: rename them to match your fee schedule, add lines for other categories, or delete the ones you do not use. An invoice can hold up to 30 lines.
Should I add sales tax to an engineering invoice?
Whether engineering services are taxed depends on the state or country where you work, so check with your tax authority or accountant. The tax line starts at 0, its label and rate are editable, and the tax row prints on the invoice only when it adds an amount above 0.
Is this engineering invoice generator free?
