In the UK, GOV.UK says you must give an invoice “by law if both you and the customer are registered for VAT”, and its list of what an invoice must include has “the date the goods or service were provided (supply date)” next to the invoice number, both parties’ names and addresses, a clear description, the amounts, VAT if applicable and the total owed (GOV.UK).
The blank photo studio invoice (PDF or Word) has a “Session date” box, a “Bill to (client)” block, a DESCRIPTION / QTY / UNIT PRICE / AMOUNT table and a totals block that runs Subtotal, Tax, Total, “Less: retainer / deposit paid” and BALANCE DUE.

Payment Details
Bank transfer: [account name, account number or IBAN], quoting the invoice number.
Arithmetic: 1 × $100.00 = $100.00; 3 × $20.00 = $60.00; 2 × $50.00 = $100.00; 1 × $25.00 = $25.00; subtotal $285.00; minus the $50.00 already paid (Deposit Paid) = $235.00 balance due. No tax line prints because the tax rate is 0 in this example.
The labels are the ones the generator’s PDF prints. The Due Date field is not printed on this template, which is why the due date is written in the terms. The dollar sign is only for the example: pick your currency in the settings.
Session fees and print or product orders
Bill the sitting or session fee on the first line, with the type of session and the session date in the description. Then put each print or product the client ordered on its own line (size, paper or finish in the description, the number of items as the quantity), so the client can check the order against the invoice. Postage for a delivered order can go in the Travel / Expenses total.
If the client places the print order after the session, you can bill it on a separate invoice.
Hourly studio rental and equipment hire
When you rent the studio to another photographer or a production, bill the time on the Studio Rental line with the hours as the quantity, and each backdrop, light or other piece of equipment on the hire line (the number of items or days as the quantity). Write a refundable damage deposit and your replacement terms in the Terms box, which prints under Usage License & Terms.
Booking deposits
Enter a booking deposit the client has paid in Deposit Paid under Totals & Adjustments. The PDF prints the deposit and the Balance Due. To confirm the deposit when it arrives, make a receipt with the photography receipt generator.
Usage licence for portraits and studio shoots
Say in the Terms box what the client may do with the images, in the same words as your booking terms, for example personal use for a family portrait, or professional profiles for a headshot.
Who owns the photos: the law by country
- United States. Copyright “vests initially in the author or authors of the work” (17 U.S.C. §201(a)), and “a transfer of copyright ownership, other than by operation of law, is not valid unless an instrument of conveyance, or a note or memorandum of the transfer, is in writing and signed by the owner of the rights conveyed or such owner’s duly authorized agent” (§204(a)).
- United Kingdom. “An assignment of copyright is not effective unless it is in writing signed by or on behalf of the assignor” (Copyright, Designs and Patents Act 1988, s.90(3)).
- Elsewhere. The rules differ by country, so check the copyright law where you work.
On the invoice, describe the licence you are granting (the use, the media, the territory and how long) in the same words as your contract. If a client asks for the copyright itself, the US and UK rules above require a signed writing, so agree it in your contract.
Step by step
- 1Enter your studio and the client
Replace the sample studio details under From (Sender) with yours and enter the client under To (Client).
- 2Number and date the invoice
Give the invoice a unique number and set the invoice date under Invoice Details.
- 3Price the session and the order
Enter the sitting fee with the session date in the description, then each print or product with its quantity and price.
- 4Add studio or equipment hire
Enter the rental hours and any backdrop or equipment hire; delete the lines you do not need.
- 5Deduct the deposit and download
Enter the booking deposit in Deposit Paid, write the due date and licence in the Terms box, check the live preview and download the PDF.

What should a photo studio invoice include?
Your studio’s details and the client, a unique invoice number and the invoice date, the session date, the session or sitting fee, each print or product ordered, any studio rental or equipment hire, the booking deposit paid and the balance due, the usage licence, the payment due date and how to pay you.
How do I bill hourly studio rental?
Use the Studio Rental line: the number of hours as the quantity and your hourly rate as the price. Put backdrop or equipment hire on its own line and any damage-deposit terms in the Terms box.
How do I show a booking deposit?
Enter it in Deposit Paid under Totals & Adjustments. The PDF subtracts it and prints Deposit Paid and Balance Due.
Can I bill a print order separately from the session?
Yes. Make a new invoice for the order and delete the lines that do not apply, or bill everything together on one invoice if the client ordered at the session.
Is this photo studio invoice generator free?
Yes — no account, no email address, nothing to pay. It is free and unmetered for normal use; an anti-abuse cap of 20 PDFs per device per day (200 per IP) applies, well above ordinary use, and the blank template downloads on this page are not metered. A one-line "Created free with myinvoicetemplate.com" credit is switched on by default and one free checkbox in the settings turns it off. Your draft is stored in your own browser on this device, so download and keep the PDF you need.
