About the photography receipt editor above
  • Starts with a “Retainer received — [package name]” line and Notes placeholders for the package total, the balance remaining and its due date (the editor does not calculate the balance; the balance helper on this page does the subtraction for you to paste)
  • A second layout with Photography Session, Photo Editing & Retouching and Digital Image Package lines, all unpriced
  • Receipt number (REC-prefixed) and a payment date that defaults to today, both editable; the PDF shows the client as Received From and the date as Date of Payment
  • Itemized lines with quantity and unit price, plus discount, tax and shipping rows that total automatically
  • A Payment Methods section where you type the method and any transaction reference (printed under Payment Details), plus your logo, accent color and a choice of paper sizes
  • Prints under a RECEIPT heading with a notice that it confirms payment received and is not a request for payment; live preview and free PDF download

About this page

The receipt does not subtract for you. Type the package total and the payments; copy the line into Notes.

The editor has one receipt layout, so the details of the shoot go on the line and in Notes. Copy the Notes text for your kind of shoot, paste it into Notes and replace the brackets.

A receipt records a payment you have received, so each payment gets its own. These are the situations the editor above is set up for, with what to put on the line and in Notes:

In every case the line item is the amount that actually arrived, and the receipt’s date is the day it arrived.

Arithmetic: the receipt total is the $500.00 received. The balance in Notes is typed by hand: $2,000.00 package total − $500.00 retainer = $1,500.00.

Do not send an invoice marked “paid” in place of a receipt: a page headed INVOICE reads as a request for payment. For the general rules on both documents, see invoice vs receipt, and for packages, deposits and usage on the invoice side, the photography invoicing guide.

How to record a retainer on a receipt

  1. One line for the money received. Keep “Retainer received — [package name]”, replace the placeholder with the package (for example “Retainer received — Full-day wedding package”), leave the quantity at 1 and enter the retainer amount as the price. The receipt total is then the amount received.
  2. The package total and the balance go in Notes. Replace the placeholders in “Package total: [amount] / Balance remaining: [amount], due [date]” with your figures. You work out the balance: the receipt has no balance field and does not calculate it, but the balance helper near the top does the subtraction and gives you the line to paste.
  3. Date it the day the retainer arrived. The PDF labels this date Date of Payment.
  4. Say how it was paid. Add a payment method under Payment Methods and type the method and any transaction reference; the PDF prints it under Payment Details.

When the balance is paid, make a new receipt for that payment: a line such as “Final balance received — [package name]” and a note that the package is now paid in full. Whether a retainer can be refunded is set by your booking contract, not by the receipt.
