In the UK, GOV.UK says you must give an invoice “by law if both you and the customer are registered for VAT”, and its list of what an invoice must include has “the date the goods or service were provided (supply date)” next to the invoice number, both parties’ names and addresses, a clear description, the amounts, VAT if applicable and the total owed (GOV.UK).

Arithmetic: 8 × $100.00 = $800.00; 6 × $50.00 = $300.00; 1 × $200.00 = $200.00; 1 × $150.00 = $150.00; subtotal $1,450.00; minus the $500.00 already paid (Deposit Paid) = $950.00 balance due. No tax line prints because the tax rate is 0 in this example.

The labels are the ones the generator’s PDF prints. The Due Date field is not printed on this template, which is why the due date is written in the terms. The dollar sign is only for the example: pick your currency in the settings.

Retainer, payment schedule and the final balance

If your contract splits the fee into stages (a retainer to hold the date, any interim payments, then the balance), invoice each stage against the same package. The amounts and dates come from your contract; the invoice repeats them.

  • Retainer. Bill it as one line, for example “Retainer — [package name], wedding on [date]”, at the amount your contract sets. Once it is paid you can confirm it with the photography receipt generator.
  • Final invoice. List the whole package (coverage, second shooter, engagement session, album), then enter everything the couple has already paid in Deposit Paid. The PDF prints Subtotal, Deposit Paid and Balance Due, so it asks only for what is left.
  • Due date. Write it in the Terms box, for example “Balance due by [date], as set in our contract dated [date]”. The payment due date calculator works out a date from your terms.

Whether the retainer is refundable and what happens if the wedding is cancelled are questions for your contract. Keep the invoice wording the same as the contract rather than setting new terms on the invoice.

Albums and print orders

When the couple orders an album or prints after the wedding, bill the order on its own invoice, so the wedding invoice is settled once the balance is paid. Use the Album / Prints line: the product, size and finish in the description, and the number of items as the quantity. Shipping to the couple can go in the Travel / Expenses total.

Personal-use licence and copyright

Say in the Terms box what the couple may do with the photos, in the words of your contract, for example: “Personal use licence for the delivered images: prints, sharing with family and friends and personal social media. Commercial use needs written permission. Copyright stays with the photographer.” It prints under Usage License & Terms.

Who owns the photos: the law by country

  • United States. Copyright “vests initially in the author or authors of the work” (17 U.S.C. §201(a)), and “a transfer of copyright ownership, other than by operation of law, is not valid unless an instrument of conveyance, or a note or memorandum of the transfer, is in writing and signed by the owner of the rights conveyed or such owner’s duly authorized agent” (§204(a)).
  • United Kingdom. “An assignment of copyright is not effective unless it is in writing signed by or on behalf of the assignor” (Copyright, Designs and Patents Act 1988, s.90(3)).
  • Elsewhere. The rules differ by country, so check the copyright law where you work.

On the invoice, describe the licence you are granting (the use, the media, the territory and how long) in the same words as your contract. If a client asks for the copyright itself, the US and UK rules above require a signed writing, so agree it in your contract.

Wedding videography invoice

Wedding videographers can use the same editor on this page: it has the Event Date, Event Location, Deposit Paid and Balance Due that a wedding film invoice needs. Replace the starting lines with your own, for example:

What should a wedding photography invoice include?

This page opens with a place for each of them.

How do I show the retainer on a wedding photography invoice?

List the full package, then enter the retainer (and any other payment the couple has made) in Deposit Paid under Totals & Adjustments. The PDF subtracts it and prints Deposit Paid and Balance Due. If you want to confirm the retainer when it arrives, the photography receipt generator makes a receipt for it.

Where does the payment schedule go?

In the Terms box, which prints under Usage License & Terms. It starts with "Payment schedule: [as set in your contract]": replace the placeholder with the dates and amounts from your contract. The Due Date field is not printed on this template, so the balance due date belongs in the terms as well.

Can I use this for a wedding videography invoice?

Yes. Replace the starting lines with filming days, editing hours, deliverables and any music licence you bought for the film. Event Date, Event Location, Deposit Paid and Balance Due work the same way for a wedding film.

Can I invoice in pounds, euros, or Australian or Canadian dollars?

Yes. Monetary Unit in the settings has 8 preset currencies, including £, €, A$ and C$, plus a custom symbol for any other currency. The tax line starts at 0 with an editable label, so you can rename it VAT or GST and enter your rate, and the Document Title can be changed if your invoice needs a different heading.
