Which photography payments get a receipt
A receipt records a payment you have received, so each payment gets its own. These are the situations the editor above is set up for, with what to put on the line and in Notes:

In every case the line item is the amount that actually arrived, and the receipt’s date is the day it arrived.
How to record a retainer on a receipt
- One line for the money received. Keep “Retainer received — [package name]”, replace the placeholder with the package (for example “Retainer received — Full-day wedding package”), leave the quantity at 1 and enter the retainer amount as the price. The receipt total is then the amount received.
- The package total and the balance go in Notes. Replace the placeholders in “Package total: [amount] / Balance remaining: [amount], due [date]” with your figures. You work out the balance: the receipt has no balance field and does not calculate it.
- Date it the day the retainer arrived. The PDF labels this date Date of Payment.
- Say how it was paid. Add a payment method under Payment Methods and type the method and any transaction reference; the PDF prints it under Payment Details.
When the balance is paid, make a new receipt for that payment: a line such as “Final balance received — [package name]” and a note that the package is now paid in full. Whether a retainer can be refunded is set by your booking contract, not by the receipt.

Arithmetic: the receipt total is the $500.00 received. The balance in Notes is typed by hand: $2,000.00 package total − $500.00 retainer = $1,500.00.

How to make a photography receipt
- 1Enter your business and the client
Add your business name and address, then the client who paid. The receipt shows them as Received From.
- 2Set the receipt number and payment date
Keep a separate receipt series (it starts at REC-2026-001) and date it the day the money arrived. The PDF labels that date Date of Payment.
- 3Describe what the payment was for
Keep the “Retainer received — [package name]” line for a retainer, or switch to the session-and-package layout. Enter the amount actually received.
- 4Note the package total and the balance
For a part payment, type the package total, the balance remaining and its due date into Notes. Nothing on the receipt calculates the balance for you.
- 5Record how it was paid
Add a payment method under Payment Methods and type the method and any transaction reference (the PDF prints it under Payment Details), for example “Card — ending 1234” or “Bank transfer — ref [ref]”.
- 6Download the PDF

What should a photography receipt include?
Your business name and contact details, the client who paid, a receipt number, the date the payment was received, what the payment was for (the retainer, the balance, the prints or the session), the amount received and how it was paid. For a part payment, also note the package total and the balance still to pay, so the client can see where they stand.
How do I write a receipt for a photography retainer?
Make the line item the amount you actually received, for example 'Retainer received — [package name]', quantity 1, with the retainer amount as the price. Then type the package total, the balance remaining and its due date into Notes. This page starts with exactly that line and those Notes placeholders. Whether the retainer can be refunded is a matter for your booking contract, not the receipt.
Can the receipt show the balance the client still owes?
Yes, as text you type into Notes, for example 'Package total: [amount] / Balance remaining: [amount], due [date]'. The receipt has no balance field and does not calculate the balance: its total is the sum of the lines, which should be the amount received. When the client pays the balance, issue a new receipt for that payment.
Should I send a receipt or an invoice?
An invoice asks for a payment; a receipt confirms a payment you have received. If the client has not paid yet, send an invoice from the photographer invoice generator (it has a Deposit Paid field that turns the total into a Balance Due). Once money arrives, send a receipt from this page. Keep the two as separate documents: a page headed INVOICE reads as a request for payment.
Do I need a separate receipt for each payment?
Giving each payment its own receipt, with its own number and payment date, keeps your records matched to your bank statements and makes it clear to the client what each payment covered. The receipt number field starts at REC-2026-001 and you can change it to any format.
Does this page share a draft with the receipt generator?
No. This page keeps its own draft in your browser, separate from the general receipt generator. Pressing Reset clears it and brings back the retainer line and Notes placeholders this page starts with.
Is this photography receipt generator free?
Yes — no account, no email address, nothing to pay. It is free and unmetered for normal use; an anti-abuse cap of 20 PDFs per device per day (200 per IP) applies, well above ordinary use, and the blank template downloads on this page are not metered. A one-line "Created free with myinvoicetemplate.com" credit is switched on by default and one free checkbox in the settings turns it off.
