How the Excel file calculates

  • Each line: AMOUNT = QTY × UNIT PRICE. A line stays empty until both are filled in.
  • Subtotal: the sum of the ten AMOUNT cells.
  • Tax: subtotal × the rate you type in "Tax rate % (edit)", rounded to two decimals. The rate starts at 0, so no tax is added until you enter one.
  • TOTAL DUE: subtotal + tax.

Word, Excel, PDF or paper: which to use

  • Word if you want to type the invoice and change its wording or layout, then save it as a PDF to send.
  • Excel if you want the sums done for you: amounts, subtotal, tax and total. It has no Payment terms or Notes fields, so add those yourself if you need them.
  • PDF if you want to print blank invoices and fill them in by hand, for example on a job or at a market stall.
  • Online if you want an invoice "form" to fill in on screen: the free invoice generator gives you a finished PDF without editing a file.

Using it as a bill or sales bill for goods

The invoice is the seller’s own document: you issue it to your buyer. To use it as a bill for goods, put your business in From (seller) and the buyer in Bill to (customer), list each item with its quantity and unit price, and fill in the totals. If you are registered for VAT or GST and your sale is taxable, use the VAT invoice template instead, which has fields for tax numbers and the tax point date. Once the buyer pays, a receipt records the payment.

Is this blank invoice template free for business use?

Yes. Free for personal and commercial use; no signup, no email, no attribution required. The files download directly from this page and are not metered.

Can I fill in the PDF on my computer?

The PDF is a flat print layout, not a fillable form: print it and write on it, or send it as a blank. To fill in an invoice on screen, use the Word or Excel file, or fill it in online in the free invoice generator and download a finished PDF.

Does the Excel file add tax automatically?

Only when you type a rate. The tax-rate cell (labelled "Tax rate % (edit)") starts at 0, so the Tax line stays 0 until you enter your rate. Each line amount is QTY × UNIT PRICE, the subtotal adds the ten lines, the tax is subtotal × rate, rounded to two decimals, and TOTAL DUE is subtotal plus tax.

What paper size are the files?

The PDF and the Word file are set to A4 (210 × 297 mm). The Excel file does not set a paper size.

How many line items does it have?

Six rows in the PDF, seven in the Word file and ten in the Excel file. In Word you can add rows to the table. In Excel, insert new rows between the first and last item rows, so the subtotal range still covers them, and copy the AMOUNT formula into them.

What is the credit line, and can I remove it?

Each file carries one plain-text line crediting this site. It is fixed in the PDF. In the Word file it is the last paragraph and in the Excel file it is the second row: delete it if you prefer. PDFs from the online generator carry a similar one-line credit, which is switched on by default and turned off with one free checkbox in the settings.

Is a blank invoice the same as a bill?

For a sale of goods or services, the invoice is the bill the seller sends to the buyer. This template works as a sales bill: list each item with its quantity and unit price, and the totals show what the buyer owes you.
